Important Customs information for non-EU Exhibitors – Applying for a German EORI number / Power of Attorney

All exhibitors from outside the European Union that wish to ship goods to Germany for the event by air, sea, road or courier must register for a German EORI number.

Without a valid German EORI no. application your shipment cannot be Customs cleared.  This applies to exhibits for temporary import and giveaway items for permanent import.

The process can take several weeks, so we encourage all non-EU exhibitors to apply for the EORI number as soon as possible.

If you are planning on using the services of the official freight contractor, DSV Solutions Ltd., please forward a copy of the EORI application form, along with the acknowledgment email from German Customs to  You will also need to complete a Power of Attorney form allowing DSV to clear goods on your behalf, which is also attached.

Delivery and Lifting of Exhibits

All vehicles delivering/collecting directly at the venue, during the build and breakdown must register their vehicle at the Messe Frankfurt Service Shop


This is purely to get vehicle access to the exhibition grounds.  If you require a forklift to unload/reload, this must be arranged separately with the official freight contractor for the event, DSV Solutions Ltd and a timeslot booked.

Please note, there is a general driving ban on Sundays and public holidays (between 0000 and 2200 hrs) for vehicles exceeding 7.5 tonnes gross weight and for road trains (articulated lorries and draw-bars) on all roads.

The exhibition takes place in hall 5.1 and 6.1, which are on the first floor.  There are freight elevators serving the first floor.  The maximum dimensions of any one piece you are sending out should not exceed:-

Length – 500cms

Width – 350cms

Height – 350cms


The maximum weight of any one piece should not exceed 1000kgs

All loads must be palletised or crated.  Any loose loads will be refused.  Unloading & reloading slots must be pre-booked at least one month before the build.

Any vehicles that are booked after this date will incur a late booking fee.  Slots are given out on a first come, first served basis.


Self-unloads have 45 minutes to unload but must then depart the unloading area immediately.

Please ensure the driver has details of the company/stand no. they are delivering to, and on the breakdown, who they are collecting on behalf of.

Shipments other than full loads should be sent to the official freight forwarder’s advance warehouse.  Please see their shipping instructions for further information and dates. There will be a charge for this.

Please ensure the driver’s paperwork and packages are clearly marked with the show name, exhibitor name and stand no.

Goods may also be collected from the advance warehouse at the close of the event (see official shipping instructions for full details).  Hauliers/transport companies collecting must know for which exhibitor they are collecting, the hall and stand no. and official freight contractor’s job number, which will be advised to you before the close of the event.

It is essential that unpacking in the halls is restricted to small exhibits or those items, which cannot travel out of their cases without risk of damage. You or your agent should therefore arrange for your shipping or transport contractor to unpack major items away from the hall.

If you require assistance for the unloading, lifting and positioning of your exhibits you must make arrangements with this contractor. All services must be pre-booked using the order form found in the attached link. DSV Solutions Ltd. can also assist with any freight forwarding requirements you may have and have partners in your Country that can assist in door-to-door shipping.  Please contact DSV for details of your local agent. Please note, exhibitors using DSV’s door to door, via warehouse or from airport/seaport services DO NOT have to apply for a time slot.

Weight Loads

The maximum permissable weight in the halls is 1500kgs per m2.

Storage – packing cases etc

The organisers are unable to provide storage for packing cases, etc. These must be removed from the areas around your stand before the halls are opened for the exhibition. You should therefore make prior arrangements for the safe keeping of such items with the appointed handling contractor, DSV Solutions Ltd. or with your shipping and forwarding agent.

Whilst every effort is made to return your empty packaging as quickly as possible, it can be some hours before everything is delivered back. We therefore, recommend that you do not book return flights for immediately after the close of the exhibition.
Please note, exhibitors are forbidden to store exhibits or packing materials behind their stands due to the fire risk.

Courier Shipments

Courier shipments (FedEx, UPS, DHL, etc) should be addressed to DSV Solutions advance warehouse and never direct to show-site. There is a charge for this.

For shipments originating from outside the European Union, the only commodity that should be sent this way is printed matter and/or giveaways, with a very low value.

The courier company will not clear shipments addressed to the venue and it will be transferred to the Frankfurt Fairground under a T1 document, for DSV to clear.

It is vital the waybill mentions ECOC 2024 and the exhibitor name, stand no & Hall no. It is also imperative that you send a pre-advice of your shipment to DSV Solutions Ltd prior to arrival, with a copy of the waybill and invoice/packing list. Failure to pre-advise DSV means they are unaware your shipment exists and subsequently cannot be held responsible if it is not delivered to your stand.  You will also incur a surcharge on the handling rate.

Customs Clearance

We strongly recommend you utilise the services of the official freight forwarder DSV Solutions Ltd. who can assist you on all Customs matters and as an alternative to the ATA Carnet can clear temporary goods under a temporary import bond.

Courier shipments arriving from outside the European Union will be transferred to the Fairground on a T1 document and will be customs cleared by DSV Solutions.  All charges for this and any Duties and Taxes will be billed to the exhibitor by DSV Solutions.

All exhibitors that are sending shipments to the show from outside the European Union, by air, sea, road or courier must register for a German EORI no.  Without a valid German EORI no. your shipment cannot be Customs cleared. This applies to goods for temporary and permanent import.  The official freight forwarder cannot use theirs or act as the importer of record.  Please see below the link to apply: –

Once submitted, please send a copy of your application to DSV Solutions, along with the acknowledgment email from German Customs.

Please do not ship items with a value over €25,000.00 without first getting approval in advance from DSV Solutions Ltd.

Return Shipping

Exhibitors who utilise the services of DSV Solutions Ltd. on the inbound will be visited by them during the show, to discuss return shipping requirements. Those exhibitors who do not use DSV Solutions on the inbound can also make arrangements to ship back with them and should visit their service desk/on-site office before the show closes. Return shipping labels will be available for those exhibitors who need them.  If you are using a courier company such as FedEx, UPS, DHL, etc. for your return shipment you should book them to collect from the advance warehouse and bring return waybill and barcoded labels with you and attach them once you have packed away.  Please also bring a return commercial invoice/packing list that will be required by the courier company.  DSV Solutions can print and attach on your behalf but a fee for this service will apply.

Truck Parking

An area will be made available at the Frankfurt Fairground for trucks to park during the duration of the event.
