Exhibitor Services and Exhibitor Manual – NOW LIVE 

The information and order forms for ECOC Exhibition are now live and available to access online www.ecocexhibition.com/exhibitor_services_2018, all contracted exhibiting companies have been notified via email along with their own username and passwords for both exhibitor badges and for ordering services.

Exhibition Opening Times

The exhibition runs from 24-26 September 2018. Opening times are:

Exhibition

Monday 24 September                     0930 - 1700
Tuesday 25 September                    0930 - 1700
Wednesday 26 September               0930 - 1600

Please Note: Exhibitors can ONLY access the halls from 8am each morning during the exhibition days and can only remain until the closing of the hall at 1730 hrs. Exhibitors must remain within their own stand area and are not permitted to walk around the exhibition before the show opens.


Timetable of Build Up, Exhibition and Breakdown

Build up

Friday 21 September        0800 - 2200  (space only stands - Official venue contractor badges must be worn at all times)
Saturday 22 September   0800 - 2200  (space only stands - Official venue contractor badges must be worn at all times)
Sunday 23 September     0800 - 2100  (space only and shell scheme - Official venue contractor badges or exhibitor badges to be worn at all times

Build up through the night is possible but will be charged.  Please contact us the organisers if you require this.

These times must be adhered to.

Please note:  On Sunday 23rd September the aisles must be clear by 1400 hrs, building of your stand can commence until 2100hrs but only within the perimeter of your stand.

Breakdown

Wednesday 26th September    

1600 - 1630 - Official contractor GT Exhibitions to commence return of empties                                        
1630 - 2400 - Loading doors open for all other contractor/empties

Thursday 22nd September      

0800 - 1500 

THE RETURN OF EMPTY CASES WILL COMMENCE AFTER THE EXHBITION HAS CLOSED. WE RECOMMEND THAT YOU DO NOT MAKE TRAVEL ARRANGEMENTS IMMEDIATELY AFTER THE CLOSE OF THE EXHIBITION.  ITEMS MAY BE CARRIED OUT OF THE HALL TO YOUR VEHICLE.  ARRANGEMENTS FOR OUTBOUND SHIPMENTS SHOULD BE MADE WITH OUR FREIGHT FORWARDING CONTRACTOR, GT EXHIBITIONS (REFER TO HANDLING OF EXHIBITS FOR FURTHER INFORMATION).

IMPORTANT INFORMATION: Any exhibitors breaking down or packing exhibits before the official closing time of 1600hrs on Wednesday 26th September will forfeit priority ranking booking slots for the following year.  It is forbidden to breakdown or pack away exhibits before the official closing time and under no circumstances can stand contractors access the hall prior to 1600hrs.

Under no circumstances will exhibitors, their agents be allowed to remain on site after the stated times.  A penalty charge will be enforced if necessary.  During the dismantling period the Fiera Roma cannot be held responsible for loss or damage to personal belongings and/or stand materials. We therefore kindly request that you remove any personal belongings and/or materials on Wednesday 26th September 2017 within 1 hour after the closing of the show.  After this time we will start dismantling the stands.


Insurance and Fire Extingusher - NEW MANDATORY REGULATION

All exhibitors are required to purchase insurance and a fire extinguisher for their stand through the Fiera Roma, this is a mandatory requirement and will cost 110 euro

Fiera Roma Srl arranges for insurance coverage of all exhibitors by means of a special agreement according to specific needs of the show for:

  1. THIRD-PARTY AND EMPLOYEE LIABILITY (R.C.T. – R.C.O.)
  2. FIRE INSURANCE
  3. DAMAGES CAUSED TO THIRD PARTIES BY FIRE

A) THIRD-PARTY AND EMPLOYEE LIABILITY (R.C.T. – R.C.O.)

The policy insures the Exhibitor for what he is bound to pay in case of damages caused to third parties (including Fiera Roma s.r.l. and its staff, consultants and/or others connected with Fiera Roma s.r.l., as well as Investimenti s.p.a. as owner) and to third-party property for which the Exhibitor is civilly liable; the insurance also covers damages (death and personal injuries as a consequence of an accident at work) suffered by the employees engaged by the Exhibitor, working for the activities for which the insurance is rendered. R.C.T./R.C.O.INSURED LIMIT: € 2,500,000.00 PER ACCIDENT, with the limit of € 1,500,000.00 for each single employee

B) FIRE INSURANCE

For the damages that have occurred during the stay in the pavilions of Fiera Roma s.r.l. in the Exhibition days, including the fitting-up and dismantling period, as foreseen by the Exhibition General Regulations. Insured items: exhibits, furnishings, equipment, fittings and any other object as per general and particular policy conditions. Following cases are included: atmospheric disturbance, flood, inundation, earthquake, terrorism and sabotage and so on. Valuables, precious objects, works of art, money, securities, jewellery, numismatic and philatelic collections and living animals are excluded. BASIC INSURED AMOUNT €. 50.000,00 .


SPACE ONLY - NEW REGULATION: Stand Building Materials

All materials to be used for stand fitting up (partition walls, backdrops, platforms, coverings, fabrics, false ceilings, curtains, carpets, various structures and so on) must be INCOMBUSTIBLE, ORIGINALLY FIREPROOF or FIREPROOFED. Please refer to the manual regulations where a fire class table is provided as an assistance http://www.ecocexhibition.com/Regulations


Fiera Roma Permit Contractor Badge for Build Up and Breakdown - NEW FOR THIS VENUE

The venue is accessible only to persons in possession of a Fiera Roma Permit Contractor Badge.  This permit must be used for Friday 21st, Saturday 22nd & Sunday 23rd September for contractors and will include breakdown on Wednesday 26th & Thursday 27th September. 
 
Exhibitor badges are not valid on Friday 21st and Saturday 22nd September. Permit badges must be ordered through the Fiera Web shop and can only be done by the exhibitor who must then register their stand builder details.  The contracted stand builder will then receive a link to complete registration for their permits.
 
The permits can be collected at the East Entrance. 
 
NB: We strongly advise that you register this information before the event as you will be expected to complete the details on site which will delay you or your stand builders entering the hall.
 

Free Promotional Opportunities 

Company Profile and Market Sectors 
How to update your company profile online: 
• Click here to log into your account Click ‘My Account’ in the top menu 
• Click ‘My Profile’ 
• Scroll down to the ‘Market Focus’ section and tick the boxes relevant to your organisation. 
• Scroll down to the next section ‘Company Profile’ 
• Input your profile (maximum 60 words) 
• Click 'Save changes' 
 
Your Company profile from 2017 has automatically been transferred over to the 2018 website. 
Please ensure these details are kept up to date where necessary as this information will be included in the printed show guide and also features on the live A to Z Exhibitor online directory. 
You can update your profile online at any time, however any changes made after the details are downloaded for the show guide will not appear once the guide is sent to print. 
All exhibitors also need to complete the market sector section of your company profile.  
 
Sharing companies 
Main stand holders - please remember to let us know of any companies that are either sharing your stand or who you are representing, as they will not be included on the website, exhibitor list of show guide unless you inform us. You can add sharing companies via the website under the 'Stands' section. All sharing companies listed are entitled to a 60 word directory entry free of charge. 
 
Share your news in the ECOC Exhibition Newsletters 
The Visitor Newsletter is emailed to all potential and previous ECOC visitors and conference delegates and so it is a great opportunity to promote your company and products before the show in September. (Please note: there is no charge to include your news in this newsletter). Don’t miss out on this free marketing opportunity for your company, submit your news story via email to the Marketing team. 
 
Display your products free of charge in the FTTx Centre 
The FTTx Centre features eleven FTTx Zones and exhibitors can display products free of charge. If you have a new or existing product you would like to feature in the FTTx Centre, please complete the entry form and return to michelle.dampier@nexusmediaevents.com by Friday 17th August to be eligible for consideration.

• Upload your logo (specifications are given)

Add your company logo 
You can now add your logo to your company profile, both on the website and in the show guide, for just £250. You can now purchase and upload your logo directly to the website. 
Please note there is a fee of £250 to add your logo, you will have the option to pay directly by credit card or through an invoice. We will review your logo and add it to your profile.

Once again, ECOC will hold free Market Focus sessions. These sessions will be held in the exhibition hall and are designed to allow all visitors/attendees to get the big picture on the commercial and technology drivers shaping a new era of growth across all levels of the optical communications supply chain.
