Ecoc 2012 :: Visa Information

VISA APPLICATIONS

Personnel from certain countries attending the ECOC 2012 exhibition and conference in Amsterdam will require a visa. To support your official visa application, individuals will also require a letter of invitation from the ECOC organisers. 
 
The visa applications process can take time so please ensure you and your colleagues apply for your visa as early as possible.  Invitation letters take ECOC management 7-10 days to process. 
 
For both exhibitors and visitors please complete the personal data form (click here to download).

To complete the form, fill in your details electronically then click Formular Senden or Submit form (this wording should be located at the top of the form). This will then bring up a pop up box where you will need to enter your email address and name and then click Senden/Send this will then send the completed form to Elaine Couvret.

If you cannot submit this PDF or see the wording Formular Senden or Submit simply complete the form electronically save the file to your desktop then email through to Elaine Couvret elaine.couvret@nexusmediaevents.com as an email attachment or if you wish to complete the form manually you can fax it through to +44 1732 752130.

Please include your full name as it appears on your passport and ensure you complete every section of the form it will then be processed and an invitation letter issued.  The visa letter will be sent as an email attachment only - as most embassies / consoles accept this method. When requesting letters for more than one individual please complete a form for each person.

If you or your local embassy/consulate  require original documents you must inform us early and any documents that require to be sent by courier must be paid for by the customer.  Please then provide a DHL, Federal Express or UPS account number.
 
This service will be available until 31 August. ECOC Management is not able to contact Embassies on behalf of any individual wishing to attend the ECOC Conference & Exhibition.

Additional Support Documentation for Exhibitors

In order to provide additional supporting documentation for visa application, the organisers will also supply an official letter from the venue (Palexpo) verifying that the show will be staged there and also a letter confirming if you are an exhibitor that you are registered with a booth or if a visitor that you have registered on the ECOC website to attend the event.  These letters will be sent  via e-mail with the letter of invitation.  Again if original documents are legally required by the embassy/consulate then they can be airmailed.  Any documents required to be sent via a courier must be paid for by the client and a DHL, Federal express or UPS number must be supplied

Please note:  Refunds for exhibit space will not be made if a  visa application is unsuccessful.
