Booking a Stand - Step by Step

Choosing a Stand

To locate a stand that matches your requirements, first click on one of stands in either halls X, XL, Y or Z on the Floorplan Overview to the left of the window. If you have particular budgetary or surface area requirements you can also use the search facility at the bottom left of the page (click 'Advanced Search' to access these options). Please note that are different height restrictions in each exhibition hall.

Click on any stand in the centre area of the window to zoom in and view the stand's dimensions. Details of the stand's availability, surface area and price are shown in the Info Panel to the top right of the page. Choose between Shell Scheme (includes walling, fascia nameboard, basic lighting and carpet) or Space Only by clicking the corresponding radio buttons on the Info Panel. The price shown reflects the option you have selected.

Navigating Around the Floorplan

You can zoom in or out and move around the Floorplan using the controls on the left. Click on 'Reset Plan' to return the plan to its original zoom level and positioning. Note that if you move to another stand block (by clicking on that block in the floorplan overview) it will always load with the default zoom level and positioning.

Reserving a Stand

If the stand you are interested in is available, you are free to place it in your Basket and continue with the booking process. Simply click on the stand to zoom in and press the 'Add to Basket' button on the Info Panel. If the stand you are interested in has been reserved by another exhibitor you are welcome to join the waiting list (once an exhibitor has reserved a stand, the company has a set period of time - usually seven days - in which to confirm the booking otherwise the stand is automatically offered to the first exhibitor in the waiting list). Again, simply zoom in and press the Add to Basket button to join the waiting list. You will be automatically notified if the stand becomes available.

If required, you can add several stands to your basket. The total price of all the stands in your basket is shown beneath the basket to the right of the window. When you have finished selecting stands, click 'Proceed to Reservations' to continue the booking process. You can always return to the Floorplan and select additional stands at a later date if you wish.

Stand Status

A stand's background colour and border colour reflects its current status. A key to the various stand statuses is shown at the bottom of the main window.

Previewing the Contract

When you wish to preview the contract please make sure the boxes are ticked relating to the Stands in question and click 'Sign / Preview Contract' at the bottom of the Stand Status Page. An online contract will be generated containing all the Stands which were ticked. Please carefully review the Terms and Conditions as well as the our Privacy Policy. At this stage you are still under no obligation to proceed. However, remember that until the contract is signed your Stands are not confirmed and may become available to other exhibitors if the hold time is exceeded.

Signing the Contract

Please complete the sections highlighted in yellow on the contract. When you are happy to proceed, click 'Sign Contract'. If you have not yet read the Terms and Conditions or the Privacy Policy please do so before clicking 'Sign Contract'. You will be reminded that you are signing a legally binding contract and asked to confirm that you agree by clicking 'OK'. If you do not wish do so click 'Cancel' and the signing will not be completed or your Stand confirmed.

You will now be taken to the Exhibitor Tools Homepage - your online event organiser from which you can access all the advanced features of the ECOC online event management system.

Stand Status Page

Once you have logged in you will be taken to the Stand Status page and given the opportunity to preview your stand contract and sign it online. The system will confirm the addition of the stands you selected on the Floorplan. Your stand reservations will be held for a set period of time only (usually seven days). It is therefore important to sign the online contract before the end of this period or you risk losing your stand(s) to any of your competitors who may be on the waiting list. The deadline for signing the online contract is shown alongside each stand on the Stand Status page.

The Stand Status page shows the status of all your Stands, so it is entirely possible that you will have Reserved, Confirmed and Waiting List stands, all on the same page. Each Stand is listed with its dimensions and surface area, as well as the price of the current configuration (either space only or shell scheme). Each reserved stand also has a tick box associated with it which allows you to signify that you wish to electronically sign the contract. If a Stand has already been confirmed you can also see the contract number associated with that sale and review the contract by clicking on the contract number.

Exhibitor Tools

You will now be taken to the Exhibitor Tools login page. If you have already been issued with a username and password you should enter them here, otherwise click 'Create Exhibitor Tools Profile'. At this stage you will be asked to enter a few key details about your company, including the address to which any invoices should be sent. You are not committing yourself at this stage however! You should also enter details of a key contact person at your company (possibly you) who should be kept informed of the progress of your bookings. It is this person who will receive details of the username and password needed to continue the booking process. He/she will also receive email or sms (short message service) confirmation of your bookings together with reminders of key deadlines in the booking process.

Once you have completed the form, click 'Create User'. You will then be taken back to the Exhibitor Tools login page. In a few moments, the contact person you specified on the form will receive a username and password by email or sms (as requested), which he/she should use to login to the Exhibitor Tools page and continue the booking process. Note: it is important to login as soon as possible after receiving your username and password as your reservations are not held until you do so and you risk losing your selected stand(s) to another exhibitor (there is no contractual commitment at this stage).

Important: do not reveal your username or password to anyone else as they not only provide full access to the range of Exhibitor Tools described below but also allow you to book stands and sign the corresponding contracts online.
